This notice explains what personal information the Phase Differential Theory website collects, why it is collected, who helps us process it and the rights you have under UK data protection law, including the UK GDPR and the Data Protection Act 2018.
Who we are
Delta Phi IP Ltd is the data controller for personal information processed through this website. For any privacy question or request, email hello@phasedifferentialtheory.com or use the contact page.
What we collect and why
Contact form. Your name, email address, optional affiliation, enquiry category, optional subject and message. We use them to read, route and answer your enquiry. If you write again with the same subject from the same address, the new message is added to the existing conversation.
Automated sorting and draft replies. Each contact message is passed to an AI-assisted system that suggests a category and priority, relevant papers and frequently asked questions, and a draft reply for the team. A member of the team decides what, if anything, is sent in reply. The system does not make decisions with legal or similarly significant effects on you.
Emails we send. When you submit the contact form we email you an automatic acknowledgement, and the team is notified by email with the content of your message. We keep a log of emails sent (recipient address, subject, time and delivery status) so we can check delivery.
Mailing list. Your email address and optional name, the dates you joined, confirmed or left, and random confirmation and unsubscribe codes. We use them only to send occasional research and publication updates. You are added only after you press the confirmation link we email you.
Team accounts. Sign-in is limited to members of the PDT team. For those accounts we hold the email address, display name, optional affiliation, role and mailing list preference.
Abuse protection. To limit automated or repeated submissions we keep a short-lived, one-way scrambled form of your network address and email address together with a count of recent requests. It cannot be turned back into the original address and is deleted automatically, normally within two days.
Counts that do not identify you. The site keeps an overall visit count and a download count for each paper. These do not record who you are.
Storage on your device. While you write a contact message, the text is saved in your own browser so that it is not lost if the page reloads; it is removed when the message is sent. Team members who sign in have their sign-in session stored in their browser. We do not use advertising or tracking cookies.
Our lawful bases
We answer contact enquiries, run automated sorting, keep the email log and protect the forms from abuse on the basis of our legitimate interests in running an open research programme, responding to correspondence and keeping the site secure. We send mailing list emails on the basis of your consent, which you can withdraw at any time. We hold team account information to provide those accounts.
Who processes information for us
We use a small number of service providers who process personal information on our instructions:
- Lovable Cloud hosts the website, its database and file storage.
- Resend delivers the emails the site sends.
- The Lovable AI service, using Google Gemini models, carries out the automated sorting and draft replies for contact messages.
Some of these providers may process information outside the United Kingdom. Where UK personal data is transferred internationally, we rely on an applicable lawful transfer mechanism or safeguard as required by UK data protection law.
We do not sell personal information or share it for marketing.
How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, subject to legal, security and legitimate record-keeping requirements. Contact messages and replies are kept while the conversation may reasonably continue and for a reasonable period afterwards as a record of correspondence, then deleted. Mailing list records are kept while you are subscribed. If you unsubscribe we keep a minimal record so that we do not email you again by mistake, and we delete it if you ask. Unconfirmed mailing list requests are not used for mailing. Abuse protection data is deleted automatically, normally within two days.
Unsubscribing
Every mailing list email contains a personal unsubscribe link that works immediately and without signing in. You can also email hello@phasedifferentialtheory.com and ask to be removed. Unsubscribing does not affect replies to contact enquiries.
Your rights
Under UK data protection law you have the right to ask for a copy of your personal information, to have inaccurate information corrected, to have information deleted, to restrict or object to our use of it, and to data portability where it applies. Where we rely on consent you can withdraw it at any time.
To make a request, email hello@phasedifferentialtheory.com from the address concerned, or tell us which address it is. We may ask you to confirm that the address is yours. We aim to respond within one month.
If you are unhappy with how we have handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Security
Personal information is held in a database that only authorised members of the PDT team can read. Public visitors cannot see contact messages or the mailing list. Connections to the site are encrypted.
Changes to this notice
We will update this page if the way the site handles personal information changes.
